IBC Group is a dynamic and innovative company dedicated to providing topnotch solutions to our clients. We are looking for a talented and experienced Executive Assistant and HubSpot Expert to join our team and help us optimize our sales and marketing processes.
The Executive Assistant and HubSpot Expert will be responsible for managing and optimizing our HubSpot CRM ensuring the smooth operation of our sales pipeline and driving efficiency in our sales and marketing efforts. Additionally this role will provide comprehensive administrative support to our executives ensuring their schedules and tasks are managed effectively.
Key Responsibilities:
HubSpot Management:
- Configure and manage HubSpot CRM including setting up workflows automation and integrations.
- Ensure data integrity and accuracy within the HubSpot platform.
- Provide training and support to team members on HubSpot usage and best practices.
Pipeline Management:
- Monitor and manage the sales pipeline to ensure timely followups and progression of leads.
- Analyze pipeline data to identify bottlenecks and areas for improvement.
- Collaborate with sales and marketing teams to develop strategies for pipeline optimization.
Reporting and Analytics:
- Generate and analyze reports on sales performance pipeline health and marketing campaigns.
- Provide insights and recommendations based on data analysis to drive decisionmaking.
- Develop and maintain dashboards to track key metrics and KPIs.
Executive Assistance:
- Manage executives calendars including scheduling meetings appointments and travel arrangements.
- Review prioritize and respond to emails and phone calls on behalf of executives.
- Prepare reports presentations and other documents as needed.
- Organize and maintain confidential files and records.
- Take notes and provide summaries of meetings.
- Assist with special projects and tasks as required.
Process Improvement:
- Identify opportunities to streamline and improve sales marketing and administrative processes.
- Implement best practices for lead management nurturing and conversion.
- Stay uptodate with the latest HubSpot features and industry trends.
Qualifications:
- Bachelors degree in Marketing Business or a related field.
- Proven experience with HubSpot CRM and its various tools and features.
- Strong analytical skills and the ability to interpret data to drive insights.
- Excellent project management and organizational skills.
- Effective communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Familiarity with sales and marketing processes and best practices.
- Experience in providing executivelevel administrative support.
Preferred Qualifications:
- HubSpot certifications (e.g. HubSpot Marketing Software HubSpot Sales Software).
- Experience in a similar role within a fastpaced environment.
- Knowledge of other CRM systems and marketing automation tools.
