Job Overview:
The Administrative Assistant will play a crucial role in managing and supporting the training and enrolment processes. Key responsibilities include receiving and processing training contracts and course enrolments ensuring all documentation is completed accurately. The role involves maintaining student files updating data on VETtrak and entering information into various registers databases and spreadsheets. The Administrative Assistant will also record outcome codes based on assessment decisions and ensure that the Student Management System remains uptodate. Collaboration with the broader Administration Team is essential to meet key administration tasks and contribute to the efficient operation of the department. Attention to detail accuracy in data management and effective communication are vital for success in this position.
Job Description:
- Receive and process training contracts and course enrolments
- Check all documentation is completed correctly and record and return to trainer for amendments if required
- Create maintain and update student files accurately and correctly
- Enter all data accurately and maintain registers databases and spreadsheets concerning students
- Create student profiles update and maintain student data on VETtrak
- Record outcomes codes according to the assessment decisions made by trainers
- Keep Student management System up to date Work with broader Administration Team to deliver on key administration tasks.
Requirements
- 2 years of relevant experience
- Excellent written and verbal English Predisposition for professional customer service and attention to detail
- Ability to communicate information whether technical or nontechnical to team member energetic and approachable confident and friendly
- Strong Understanding of the VET sector (preferred)
- Ability to work autonomously and part of a team.
- Strong attention to detail.
- Strong proficiency using Microsoft Office Programs and other relevant Student Management programs i.e. VETtrak
- Ability to lean and deliver on local state and federal contract compliance.
- Speak up when a task is not completed accurately and or on time so that support can be given to rectify as soon as possible.
