Job Description

Overview:

The Documentation Specialist Internship is a valuable opportunity to gain handson experience in document management and organization within our organization. The role is crucial in ensuring that all documentation is accurately maintained and easily accessible contributing to the efficiency of various departments.

Key Responsibilities:

  • Assist in organizing and categorizing various types of documents and files
  • Support in scanning printing and filing documents
  • Ensure the accuracy and completeness of all documents
  • Assist in creating and maintaining document databases
  • Conduct quality checks on documents for errors or inconsistencies
  • Assist in ensuring compliance with document management policies and procedures
  • Support in the retrieval and distribution of documents as needed
  • Assist in archiving and purging outdated documents
  • Collaborate with team members to support documentation needs
  • Assist in updating and maintaining electronic documents
  • Participate in training related to document management systems
  • Contribute to the improvement of document management processes
  • Assist in drafting and formatting documents as required
  • Support any adhoc documentation tasks
  • Collaborate with team to complete assigned projects and tasks

Required Qualifications:

  • Currently pursuing a degree in Library Science Information Management or related field
  • Strong organizational skills and ability to prioritize tasks
  • Excellent attention to detail and accuracy
  • Proficient in document management software and systems
  • Excellent written and verbal communication skills
  • Ability to work independently and in a team environment
  • Basic knowledge of document formatting and editing
  • Strong time management and multitasking abilities
  • Familiarity with document scanning and printing equipment
  • Understanding of document retention and disposal processes
  • Ability to maintain confidentiality of sensitive information
  • Willingness to learn and adapt to new technologies and processes
  • Proficiency in Microsoft Office Suite
  • Excellent problemsolving skills
  • Strong interpersonal and collaboration abilities
