Job Description

ROLE: Finance Assistant

REPORTS TO: Senior Accountant

LOCATION: Nairobi Kenya

Job Overview:

The Finance Assistant is responsible for providing financial administrative and clerical support to ensure the effective efficient and accurate financial and administrative operations. This role involves assisting with the daytoday management of financial transactions and procedures.

Key Responsibilities:

1. Accounts Payable and Receivable:

  • Process and manage invoices and payments including tax payments.
  • Maintain and update financial records
  • Reconcile accounts payable.
  • Assisting in raising invoices to clients.
  • Prepare and process electronic transfers and payments.

2. Financial Reporting:

  • Assist in the preparation of financial reports and statements.
  • Share weekly AP ageing reports.
  • Maintain accurate financial data and documentation.
  • Maintain fixed asset register.
  • Assist with monthend and yearend closing processes.

3. Bank Reconciliation:

  • Perform cash and bank reconciliations and resolve discrepancies.
  • Monitor bank accounts and report any unusual transactions.

4. Budgeting and Forecasting:

  • Share weekly cash projections.
  • Assist in the preparation of budgets and forecasts.
  • Monitor actual spending against budgeted amounts.

5. Payroll Processing:

  • Assist with payroll processing and ensure timely payment of salaries.
  • Liaising with the payroll team to ensure accuracy in payroll processing and recovery of all allowances advances and any other deductions.
  • Processing and reconciling field expense allowances for internal staff and associates.

6. Expense Management:

  • Monitor and review expenditure requests and ensure compliance with company policies.
  • Process employee expense claims and reimbursements.

7. General Administrative Support:

  • Maintain and organize financial files and records.
  • Provide support for audits and other financial reviews.

  • Strong problemsolving skills and the ability to handle multiple tasks.
  • High level of integrity and ability to handle confidential information.
  • Customer service orientation and professional attitude.


Requirements

Qualifications:

Education:

  • A degree in Finance Accounting Business Administration or a related field.
  • CPA

Experience:

  • Previous experience in a finance or accounting role is preferred 12 years
  • Familiarity with accounting software and financial management systems.

Skills:

  • Strong numerical and analytical skills.
  • Excellent attention to detail and accuracy.
  • Good organizational and time management skills.
  • Proficiency in Microsoft Office especially Excel.
  • Strong communication skills both written and verbal.
