Job Description

This is a remote position.

Position Overview:

The Sales Secretary will provide administrative support to the sales team and ensure the smooth operation of sales activities. This role requires excellent organizational skills strong attention to detail and the ability to handle multiple tasks efficiently. The Sales Secretary will be responsible for managing schedules preparing sales documents and facilitating communication within the sales department and with clients.


Key Responsibilities:


1. Administrative Support:

Assist the sales team with daytoday administrative tasks.

Manage and maintain schedules appointments and meetings for the sales team.

Prepare and distribute sales documents reports and presentations.

Handle incoming and outgoing correspondence including emails and phone calls.


2. Customer Service:

Serve as a point of contact for clients and customers providing information and support as needed.

Coordinate and follow up on customer inquiries and requests.

Maintain positive relationships with clients through regular communication.


3. Sales Coordination:

Assist in the preparation and organization of sales events meetings and presentations.

Track and update sales records including contracts orders and invoices.

Monitor sales performance metrics and prepare relevant reports for the sales manager.


4. Documentation and Data Management:

Maintain and update customer databases and contact lists.

Ensure all sales documents are accurately filed and easily accessible.

Prepare and process salesrelated paperwork and documentation.


5. Team Collaboration:

Collaborate with other departments to ensure smooth sales operations.

Provide support to the sales team in achieving sales targets and goals.

Participate in sales meetings and provide input on sales strategies and initiatives.


Qualifications:


High school diploma or equivalent; additional qualification as a Sales Secretary or relevant field is a plus.

Proven experience in an administrative or sales support role.

Proficiency in MS Office (Word Excel PowerPoint Outlook).

Excellent communication and interpersonal skills.

Strong organizational and timemanagement skills.

Ability to work independently and as part of a team.

Detailoriented and able to handle multiple tasks simultaneously.

Familiarity with sales software and CRM systems is advantageous.


Working Conditions:


Standard office environment with occasional travel for sales events or client meetings.

Fulltime position with standard working hours;

Requirements

Bachelor's degree in marketing, business, or a related field. Experience in B2B marketing or sales, ideally in a similar industry. Strong communication and interpersonal skills, including the ability to build and maintain relationships with customers, vendors, and colleagues. Analytical and problem-solving skills, including the ability to use data to make informed decisions. Understanding of marketing concepts, including segmentation, targeting, positioning, and messaging. Knowledge of marketing automation tools, customer relationship management (CRM) software, and other marketing technologies. Ability to manage multiple projects and deadlines, including developing and executing marketing campaigns and initiatives. Familiarity with social media, digital marketing, and content marketing strategies. Creative thinking and the ability to develop innovative marketing ideas and strategies. Attention to detail and the ability to produce high-quality work in a fast-paced environment.
