Job Description

Key Responsibilities:

Calendar Management:

  • Schedule and coordinate appointments, meetings, and events for the management team.
  • Manage and prioritize the executives' calendars, ensuring optimal use of their time.

Communication:

  • Act as a liaison between the management and the team.
  • Draft, edit, and proofread correspondence, emails, reports, and other documents.

Travel Coordination:

  • Make travel arrangements, including flights, accommodations, and transportation.
  • Prepare travel itineraries and ensure that executives are well-informed about their schedules.

Meeting Support:

  • Prepare meeting agendas, materials, and presentations.
  • Attend meetings, take minutes, and follow up on action items.

Document Management:

  • Organize and maintain digital and physical files, ensuring easy accessibility.
  • Handle sensitive and confidential information with the utmost discretion.

Task Prioritization:

  • Prioritize and manage multiple tasks simultaneously, ensuring deadlines are met.
  • Anticipate the needs of the management team and proactively address them.

Office Management:

  • Oversee office supplies and equipment, ensuring a well-functioning work environment.
  • Assist in the onboarding of new employees and provide support as needed.

Problem Solving:

  • Identify and resolve administrative issues and challenges promptly.
  • Anticipate potential problems and proactively implement solutions.

Personal Support:

  • Provide personal support to the executives as needed, both in a professional and personal capacity.

Qualifications:

  • Bachelor's degree in Business Administration or a related field (preferred).
  • Proven experience as an executive assistant or personal assistant.
  • Excellent in both English & Arabic Language.
  • Proficient in office software (Microsoft Office, Google Workspace).
  • Excellent communication and interpersonal skills.
  • Strong organizational and time-management abilities.
  • Discretion and confidentiality in handling sensitive information.
