Job Description

We are currently looking for an Administrative Receptionist for a contract position with the Department of Justice / United States Attorney s Office (USAO) located in Cleveland Ohio. This is initially for a 1year contract with 2 additional optional years (for a total of 3 years) with the USAO. Candidates must be U.S. Citizens and be able to clear an extensive background check / clearance investigation by the Department of Justice.


The individual will support the Administrative Division and provide the administrative and clerical duties outlined below:

  • Provide highly professional and courteous interactions with district staff and visitors to the USAO. Maintains a professional appearance and neat and organized workspace.
  • Manages all aspects of the USAO visitor management program by processing visitors through the webbased visitor management system facilitating their arrival and notifying district hosts. Engages with all visitors in a highly professional manner.
  • Receives transfers and dispatches all incoming calls in accordance with district procedures.
  • Processes facilities support request tickets.
  • Maintains files and other documentation related to the use of the district s government vehicles.
  • Maintains district supply room and identifies items for replacement as needed.
  • Processes all incoming and outgoing mail in accordance with district policy and procedures.
  • Work effectively in applications such as Microsoft Office Suite to include Word Excel Outlook and SharePoint as well as navigate internal webbased programs.


Requirements:


Experience: At a minimum candidates must have a minimum of 12 years of administrative / receptionist experience in a professional office environment (experience working in the legal industry is highly desirable). Experience interacting with the public is extremely important.


Education: At a minimum candidates must have a High School Diploma or equivalent (any postsecondary education is preferred).


Skills: The right candidate will have solid organizational skills; topnotch time management skills; a streamlined and polished communication style (both oral and written); meticulous attention to detail; and the ability to remain calm and poised at all times.

Additionally: Candidates must be skilled in the Microsoft Office suite specifically Excel spreadsheets and Word documents. Ability to handle confidential and sensitive matters professionally and with discretion. Ability to interact with the public is


This is a full time / 40 hours per week position. Candidates will be working onsite each day (telework is not available for this role). This position offers the accrual of 2weeks of paid time off each year paid federal holidays and is eligible to enroll in our health benefits program.
