The Opportunity:
Reporting to the Project Director the Project Coordinator will play a key role in ensuring projects operate efficiently and effectively whilst always following internal project management guidelines.
The Project Coordinator will be a key stakeholder in the operations team working alongside project managers heads of department commercial and finance to provide project support across the project lifecycle making improvements with a focus on efficiency and quality wherever possible.
Main Responsibilities
Liaise closely with the Project Manager and other stakeholders to understand the support required for individual projects.
Work with Project Manager to define Master Document Register content / deliverables and ensure ongoing management and compliance.
Ensure all project documentation and reporting is distributed and filed in line with agreed filing and reporting structure.
Ensure equipment requests submitted by functional areas are suitably completed submitted and followed up with Suppliers to ensure quotations and P.O.s are in place in line with processes.
Expedite orders as necessary and highlight areas of concern / risk.
Ensure all associated supporting paperwork is filed accordingly and shipping registers updated
Compile & Manage Project Action Trackers
Point of contact for vessel operator in relation to coordination of all marine assurance / audits port call planning bunkering and general communications
Provide operational support to the project performance monitoring and reporting
Act as a point of contact for the Offshore Manager in relation to crew movements equipment & vessel logistics as well as all project and nonproject stores / consumables.
Coordinate vessel logistics planning point of contact for both Vessel Operator and supporting Ships Agency.
Participate in the oncall rota as required
Support the production and distribution/filing of project reports at regular intervals (e.g. daily weekly monthly as built) ensuring accuracy of information submission within agreed timeframes and adequate filing.
Produce high quality projectspecific presentations under the guidance and instruction of Project Managers for internal & external use as requested.
Coordinate crew change maintenance and demobilisation activities
Ensure all equipment and 3rd party services P.O.s are suitably closed down / reconciled with any discrepancies or need for P.O. transfer communicated and effected.
Support PM with reporting preparation of all deliverables client close out / feedback and ensure Lessons Learned are documented on correct approved formats and uploaded to company Lessons Learned register
Play an active role in identifying & working with others to help improve operational processes & procedures related to the role.
Support initiatives special projects and adhoc activities as directed by the Operations Manager
Create and manage both project and vessel MELs.
You should apply if you have:
Demonstrated project support and administration skills.
Advanced MS Office skills particularly Excel Project & SharePoint.
Experience working with an integrated management system (ISO).
Experience of offshore projects (desirable).
Excellent time management & task prioritisation skills.
Exceptional interpersonal skills.
Sound reporting and analysis skills.
