In this role you will serve as the Executive Assistant (EA) for the Managing Director (MD) of the New York and Washington DC offices with a primary focus on supporting this MD. Additionally you will provide EA support for other MDs and handle general administrative tasks as they arise though the EA responsibilities for the primary MD will take precedence. You will engage daily with the MD and collaborate with the US team on training and addressing any issues as directed by the bid team. Driving Financial Excellence Every Day
  • Engage daily with the MD.
  • Work with the US team on training and any issues as directed by the bid team.
  • Collaborate periodically with other Clevel executives or departments.

Responsibilities Detail:

Email & Inbox Management:

  • Monitor and manage the MD s email inbox prioritizing and responding to emails as appropriate and ensuring timely followup on all communications.
  • Check the MD s inbox every hour.
  • Perform a sweep of emails taking necessary actions such as responding to client emails alerting the Managing Director recategorizing or forwarding emails.
  • Explore supporting other (less busy) MD inboxes depending on capacity after fully ramping up for Brandon.
  • Note that the MD typically receives about 150200 emails a day. Half are complex and require a closer read while the other half are short and simple.
  • Learn and maintain the many rules set up to forward emails.

Other MD Support:

  • Manage calendars build and share presentations schedule meetings arrange travel add to expense reports and handle other ad hoc tasks as they arise.

General Administrative Task Assistance:

  • Perform manual tasks such as data entry and checking to support the Client s G&A function. These projects will typically be more ad hoc or monthly and will be secondary in priority to supporting the MD.

Requirements

  • Strong organizational and timemanagement skills
  • Highly responsive over Slack
  • Excellent written and verbal communication abilities with a good command of English
  • Ability to use basic tools after training: Gmail Slack MS Office Salesforce etc.
  • Hours: Main working hours from 9 AM to 6 PM ET but ideally check regularly throughout the day and night
