Job Description

Job Overview:

The purpose of this role is to assist the HR lead or HR team by performing various administrative tasks and ensuring the smooth functioning of HR operations. This involves maintaining personnel records managing HR databases updating policies and assisting with all other HRrelated activities.

Key Responsibilities:

Records and Databases

  • Maintain accurate and uptodate employee records.
  • Assist with the administration and management of all HR systems.
  • Generate HR reports and metrics as requested by management.

Recruitment

  • Assist with recruitment administration including:
  • Identifying and sourcing candidates.
  • Scheduling interviews.
  • Conducting reference and criminal checks.
  • Coordinating education/qualification checks (where necessary).
  • Gathering relevant employee documents.
  • Maintaining the applicant tracking system (ATS) by updating candidate information.

Onboarding

  • Support the business with the onboarding process to ensure new joiners are onboarded correctly and smoothly. This includes:
  • Ensuring necessary equipment and merchandise are organised.
  • Preparing new hire paperwork.
  • Welcoming new joiners and facilitating orientation sessions.
  • Conducting HR checkins.
  • Introducing new joiners to policies.

Offboarding

  • Support the team in the offboarding process by:
  • Processing employee terminations by updating HR systems.
  • Conducting exit interviews.
  • Assisting with all standard offboarding procedures.

EmployeeFacing Communication

  • Respond to and answer HRrelated queries.
  • Communicate with the team to ensure they are aware of changes within the business.

BEE Administration

  • Assist the business with their BEE scorecard(s) and understand the implications of current and future vendors.

Benefits Administration

  • Assist in the administration of company benefits.
  • Support employees with benefitsrelated inquiries.
  • Coordinate with external vendors and insurance providers to ensure timely processing of benefits paperwork.
  • Update benefits information in HR systems and communicate changes to employees as necessary.

HR Policies and Procedures

  • Assist in the development and implementation of HR policies and procedures ensuring compliance with legal requirements and organisational standards.
  • Provide guidance to employees on HR policies procedures and programs.

Wellness Initiatives

  • Identify and propose wellness initiatives for the team.
  • Assist with the implementation and management of wellness initiatives.

HRRelated Activities and Events

  • Assist with event planning gifting (for birthdays anniversaries etc.) newsletters team building and training sessions.

Educational Background:

    • Bachelors degree in Industrial Psychology or a related field.

Relevant Experience:

  • Minimum 3 years of HRrelated experience.

Skills & Knowledge:

  • Organised.
  • Attention to detail.
  • Communication skills.
  • Problemsolving / Initiative.
