Job Description

Reporting to the Manager Global Operations Lead Global Travel Desk and Help Desk position at Axiata Digital Labs holds a crucial role within the Global Operations Department overseeing travel coordination locally (SL) and internationally aligning with the companys business strategies. Responsible for endtoend travel management vendor collaboration policy adherence and process optimization this role ensures seamless travel experiences for employees. Collaborating closely with diverse internal teams generating insightful reports and maintaining adherence to policies are essential responsibilities. By leveraging negotiation skills communication prowess and an eye for detail the Lead Global Travel and Help Desk contributes significantly to operational excellence and the alignment of ADL business goals.

As the Lead of the Global Travel Desk and Help Desk at Axiata Digital Labs the core responsibilities span diverse areas encompassing the coordination of air travel airport transfers per diem arrangements insurance bookings data roaming activation vendor interactions financial oversight including vendor payment authorization presentation and report creation and seamless collaboration with internal departments. Within this scope and the authority to make decisions regarding vendor partnerships financial transactions travel coordination data roaming services and crossfunctional collaboration.

Responsibilities

  • Corporate Travel Management: Expertly arrange corporate travel for Axiata Digital Labs offices in Sri Lanka Malaysia and Indonesia ensuring seamless travel experiences for employees.
  • Visa Arrangements: Assist in coordinating visa arrangements ensuring compliance with regulations and supporting hasslefree international travel.
  • Per Diem Coordination: Collaborate with the finance team to arrange per diem for travelers ensuring timely and accurate reimbursements.
  • Airport Transfers: Book airport transfers to provide smooth and convenient transportation for employees during their business trips.
  • Local Logistics for Events: Organize local logistics including transportation and accommodations for company events to facilitate successful and memorable experiences.
  • Reporting and Analytics: Generate comprehensive reports using Excel and Power BI for the Senior Management Team providing valuable insights into global travel and helpdesk operations.
  • Training and Presentations: Conduct internal training sessions and presentations for inhouse travelers delivering subjectrelated knowledge and enhancing travel management skills.
  • Travel Policy Development: Contribute to the preparation and coordination of foreign and local travel policies ensuring compliance and alignment with organizational objectives.
  • Primary Point of Contact: Act as the main point of contact for travelrelated queries providing timely and accurate information guidance and assistance.
  • Helpdesk Support: Serve as the primary point of contact for helpdeskrelated queries promptly addressing and resolving issues to ensure optimal user experiences.

Key Result Areas

  • Operational Excellence: Streamline and optimize travel management processes to enhance employee experience and align with business objectives.
  • Stakeholder Collaboration: Collaborate with department heads and stakeholders to align travel and IT support operations with ADLs overall business strategies.
  • Continuous Improvement and Innovation: Implement innovative solutions and stay updated with industry trends to drive operational excellence and adapt to changing demands.
  • Work closely with Department Heads Country Heads Project Managers Practice Heads suppliers & clients as necessary.

Qualifications:

  • 10 years of experience in Corporate Travel
  • IATA/UFTAA Travel Consultancy and Foundation program by IATA

Skills/Knowledge:

  • Experience in working in Travel Desk for Global Company.
  • Clear and effective communication in English Sinhala and Tamil.
  • Adept at managing a multitude of tasks and responsibilities concurrently I excel in upholding high standards of quality and precision even under demanding conditions.
  • Efficiently prioritize tasks meet deadlines and manage workloads to ensure timely completion of projects and objectives.
  • Demonstrating exceptional teamwork I thrive in collaborative environments by actively engaging in discussions and offering valuable contributions that drive us toward our collective goals. My commitment to working harmoniously with colleagues empowers us to achieve remarkable outcomes together.
  • Proficient in using Microsoft Office including Word Excel PowerPoint and Outlook.
