Provide administrative support to ensure the efficient operation of the office.
Support managers and staff through a variety of tasks related to organization and communication.
Handle confidential and time-sensitive materials, ensuring familiarity with the Dar's concepts, practices, and procedures.
Maintain physical and digital filing systems.
Work with administrative and finance staff and coordinate with the storekeeper to ensure office supplies are always on hand.
Provide administrative support to senior leaders, including email correspondence, generation and distribution of memos, letters, spreadsheets, forms, and faxes.
Support the finance department with petty cash, medical insurance transactions, catering company invoices, and projects’ invoices.
Act as the point of contact for internal and external suppliers and stakeholders.
Provide support to the Travel Section.
Assisting travelers with travel visas, passports, and other travel documents.
Handling all incoming travel requests and the processes that follow.
Communicating with travelers regularly to keep them updated on logistics.
Coordinating transportation and airport transfers for travelers.
Requirements:
Bachelor's degree or equivalent.
Knowledge of office management systems and procedures.
Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
Excellent time management skills
Attention to detail and problem-solving skills.
Excellent written and verbal communication skills.
Strong organizational skills with the ability to multi-task.
