Main Accountabilities
Administrative support
- Deliver office administrative tasks such as, but not limited to, clerical work, filing, scanning, archiving, updating doents and data bases
- Handling purchase to payment process for the premises and running costs budgets
- Managing the office invoices process from submission until payment
- Follow up with vendors for reconciliations and year end vendor clearances.
Relationship & stakeholder management
- Follow up with the bank on rejected cheques and payments, issuing any letters needed for banking matters
- Build relationship with colleagues locally and regionally and answer enquiries based on business need also maintain a good relationship with vendors.
Finance & resource management
- Manage the preparation and delivery of cheques and off system payments under the supervision and in coordination with the Business Operations Manager
- Managing cash including customer service cash collection and petty cash and recording on SAP in line with the cash management policy and posting Cash and petty cash on SAP daily
- Managing and updating the delegation of authorities for Jordan office
- Processing Teaching Center refunds
- Train new joiners on using SAP in PR creation, GR and IR, staff to clear their accounts on SAP, and preparing OTV and Journals for other departments
- Monthly preparing for accruals, deferrals, and prepayments
- Reconciling card payments ,paytabs and reporting on daily basis
Managing self & others
- Plans and prioritises own work activities, responding to changing requirements to ensure effective delivery of responsibilities over a daily/weekly time horizon
- Tasks and coordinates others (e.g. internal colleagues or external contractors/suppliers) to complete time-limited, straightforward activities, within elished procedures, in order to ensure efficient delivery of services.
- Monitors task completion to agreed quality and time standards.
Minimum/essential Requirements-
- BA or equivalent years of experience in accounting and administration
- At least 1 years’ experience in a similar role. Proven track record in general office administration.
