Job Description

Duration: 1 year contract with the intention of being made permanent thereafter
Location: Remote (from anywhere in South Africa) meeting periodically in Johannesburg with the team

They focus on addressing global social inequality through its learning ecosystem incubating indemand skills for digital entrepreneurial and green career paths. It collaborates with learners funders employers and learning providers to identify talented young individuals connect them with learning opportunities and support their career growth and acceleration.

The Executive Assistant will deliver toptier administrative support to the CEO and CIO enabling the executive leadership to concentrate on the most critical aspects of their roles. This position demands an enthusiastic proactive individual who is exceptionally organised detailoriented and resourceful. The ideal candidate will adeptly manage multiple priorities with discretion and professionalism.

Key Responsibilities:

  • Administrative Support: Oversee the daily personal and professional schedules commitments and calendar of the lead executives including arranging meetings appointments and travel plans.
  • Communication Management: Act as the main point of contact for communications efficiently handling inboxes emails other correspondence and phone calls.
  • Meeting Coordination: Organise and coordinate meetings including preparing agendas taking minutes drafting followup emails and ensuring the followup on action items.
  • Document Management: Prepare edit and distribute various documents reports and presentations.
  • Delivery Support: Ensure the executives fulfil 100% of their commitments by preventing oversights and proactively supporting task completion.
  • Project Assistance: Assist with special projects research and data analysis as needed. Provide support in planning and executing company events and initiatives.
  • Team Support and Relationship Building: Aid the CEO and CIO in building stronger relationships with their team by facilitating highquality personalised interactions within the organisation.
  • Event Management: Coordinate logistics for events such as board meetings team gatherings and companywide events.
  • Travel Arrangements: Manage travel logistics including booking flights accommodation and car hire. Prepare detailed itineraries and ensure all travel needs are met.
  • Expense Management: Handle expense reports budget tracking and reimbursement processes for the executive leadership.
  • Confidentiality: Uphold the highest level of confidentiality and discretion in managing sensitive personal and organisational information and executive matters.

Qualifications and Skills

  • Proven experience (3 years) as an Executive Assistant or in a similar administrative role preferably supporting senior executives.
  • Excellent organisational and timemanagement skills with the ability to prioritise tasks effectively.
  • Exceptional written and verbal communication skills.
  • Technically proficient and confident in using various systems and tools for communication planning and project and task management.
  • High level of professionalism and ability to handle confidential information with discretion.
  • Exceptional attention to detail and problemsolving abilities.
  • Ability to work independently and as part of a team in a fastpaced environment. Proactivity empathy and the ability to thrive in ambiguity are key to succeeding in this role.
  • Strong interpersonal skills and the ability to build positive relationships with internal and external stakeholders.
