Tasks
- Handling of all incoming mail and coordination of secretarial activities with the local management and cross department managers
- Setting up Office Management
- Interacts with local suppliers
- Organization and coordination of meetings and travel arrangements
- Expense Reports
- Assists and ensures preparatory work for meetings screens emails telephone calls enquiries and requests updates contact lists on a continuous basis
- Maintains a comprehensive filing system
- Assists in HR activities onboarding of new staff members
- Supports the preparation of presentations and over all inhouse organisation
Requirements
- Commercial education
- Outstanding command of mainly English and German (any other language appreciated)
- Strong written and verbal communication skills
- Proficient in MS Office
- Willingness to work extended or unusual hours when required planning skills
- Strong selfstarter and multitask talented strong service orientation and sense of responsibility and humour
- Able to set up processes where needed and ability to prioritize work calmly under pressure
- Self motivated and able to work with a minimum of supervision high communication skills
- Ability to deal with diverse stakeholders
- Proactive and taking initiative in improving administrative workload
