Job Description

To ensure all Service related data is accurate concise and maintained to the highest standards at all times and in line with company procedures

Principal Responsibilities

To administer maintenance contracts agreements invoicing setup and contractual terms in relation to the customer agreements. Liaising closely with the Central Billing team to ensure accuracy of information.

Upload budgeted hours and system asset information to the system at contract set upto enable accurate reporting on operational delivery.

Assist with set up of new maintenance contracts within the business Service Management System ensuring correct processes are followed with a consistent approach across the business.

Ensure the information on the system is current and accurate

Complete the set up of any callout contracts required

To follow the Lost Maintenance Process for all contracts notified in line with current procedures

This is not intended to be an exhaustive list. The nature of this role requires the employee to adapt to new processes and / or requirements that are introduced within the business.

Recording data accurately

Completing all processes on time to meet contractual and financial deadline

Skills:

Attention to detail

A high level of customer service skill used when dealing with external contacts

Good telephone manner and verbal communication

Able to plan ahead effectively and organise own workload to meet internal and external deadlines

Able to deal with all staff tactfully and assertively

Contributes to effective team working and contributes to the continuous improvement of business processes.

Ability to use Word Excel customer portals and service management system effectively and accurately

Must be organised IT literate and conscientious with the ability to effectively communicate with clients and internal staff.

Technical knowledge:

Industry knowledge and base understanding of our products and services

Working knowledge of quality management systems

Commercial awareness

A high level of customer service awareness

Standards:

Understands quality requirements relevant the business

Documentation:

Ensures that all documentation provided by others is accurate and complete

Health and Safety:

Has completed the Office H & S Induction Training
