Job Description

Office Manager

Supervises the Administrative assistant and works directly with our Project Managers (Engineers) to
ensure all administrative tasks are efficiently and effectively implemented. Must have strong interpersonal
skills, the ability to manage multiple tasks, and a wide breadth of experience completing all office and
administrative responsibilities.

Responsibilities:
  • Maintain positive and professional staff and client relationships
  • Perform general operational tasks and basic accounting, invoicing, and bookkeeping
  • Manage communication of information in and out of the office; type out correspondence letters,emails, memos, etc. (paper and electronic); prepare monthly invoices, make scheduled payments and deposits, and prepare outgoing mail and packages
  • Assist in preparation of reports, plans, and permit applications
  • Monitor and maintain office equipment; repair or replace malfunctioning equipment and hire technicians when required
  • Monitor office supplies and order or re-stock as needed
  • Ensure office is kept organized and well run at all times

Skills:
  • Excellent written communication skills are required with the ability to write well and develop thorough,concise written documents
  • Advanced level understanding of Microsoft Word and Excel is required. (i.e., fast, proficient, and accurate)
  • Excellent verbal communication and organization skills are a high priority
  • Ability to prioritize given tasks and work efficiently towards completing them
  • Detail-oriented
  • Familiar with common office equipment (printers, copier, fax, etc.)
  • Self-motivated person who can work independently or in a group
  • Professional demeanor
  • Excellent customer service skills and positive attitude
Qualifications:
  • Associate s degree required (Bachelor s degree preferred)
  • Experience as an office manager, administrative assistant, or similar field is preferred
