This is a remote position.
We are seeking a detailoriented and proactive Legal Assistant to join our team. The successful candidate will provide comprehensive support to our professional staff and assist in various administrative and legal tasks ensuring smooth office operations and efficient handling of client matters. This role involves significant client interaction document drafting and coordination with external parties along with a strong focus on estate administration.
Key Responsibilities:
Client Contact and Communication:
- Answer phone calls take messages and forward them to appropriate staff members.
- Follow up on outstanding instructions and responses to correspondence and client requests.
- Act as a liaison with counsel and mediators regarding availability and pricing.
Professional Staff Support:
- Update and maintain the file list.
- Facilitate Electronic Medical Records (EMR) reviews.
- Draft final letters related to Wills and Estate Planning.
- Prepare and send monthly invoices including interim/monthly accounts for conditional or deferred payment clients.
- Follow up on outstanding invoices.
- Draft client agreements and initial "offrisk" letters to clients.
- Assist in opening files and entering critical dates.
- Draft simple wills Enduring Powers of Attorney (EPAs) and related documents as instructed.
Estate Administration (under the direction of a solicitor):
- Assist in drafting probate documents and managing client contact forms.
- Communicate with financial institutions to call in funds and handle insurance matters.
- Prepare and maintain estate schedules detailing assets and liabilities.
Office Administration:
- Update and manage the CRM system to ensure all client and case information is current and accurate.
Requirements
A certificate or diploma in Legal Studies Paralegal Studies or a related field.
At least 2 years of experience in a legal support role preferably within estate planning or administration.
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Attention to detail and a high level of accuracy in work.
Proficiency in Microsoft Office Suite (Word Excel Outlook) and experience with legal CRM systems.
Ability to handle sensitive information with confidentiality.
Familiarity with wills estate planning and probate processes is a plus.
Proactive with the ability to work independently and as part of a team.
Strong interpersonal skills for client interaction and coordination with external parties.
A clientfocused attitude with a commitment to providing excellent service.
