Job Description

The House of Commons Office of the Law Clerk and Parliamentary Counsel is currently looking to staff the Senior Administrative Assistant position on a 12month term basis with the possibility of an indeterminate position and to establish a pool of qualified candidates.

In this role you will be a part of a dynamic administrative team within the Office of the Law Clerk and Parliamentary Counsel. You will be responsible for providing general administrative and operational support to the Deputy Law Clerk and Parliamentary Counsel (Legislation Services or Legal Services) and the Manager Jurilinguistic and Legislative Publication Services as well as to Legal and Legislative Counsel. The duties of the position include controlling and managing the flow of information and documentation to the Deputy Law Clerk and Parliamentary Counsel (Legislation Services or Legal Services) and the Manager Jurilinguistic and Legislative Publication Services as well as to Legal and Legislative Counsel; undertaking research and the development and coordination of information and documentation; organizing the calendar/time/agenda of the Deputy Law Clerk and Parliamentary Counsel (Legislation Services or Legal Services) the Manager Jurilinguistic and Legislative Publication Services and Legal Counsel; participating on committees and project groups and gathering and entering data in various information management systems like Sharepoint and inhouse systems.

Qualifications :

Education: 

  • Successful completion of postsecondary education in a legal field/Business Administration/Office Administration OR acceptable combination of education training and relevant experience. 

Experiences and abilities: 

  • Experience providing administrative support to executive/managers/teams and employees including booking and coordinating meetings email management and taking meeting minutes; 
  • Proficiency with standard office software (e.g. Microsoft Office suite such as MS Outlook MS Teams Excel Word and PowerPoint) and legalspecific software applications; 
  • Experience in drafting and reviewing communication legal documents and ensuring the accuracy of data; 
  • Experience in preparing internal communication materials as well as documentation required for meetings; 
  • Ability to communicate (orally or in writing) in a professional setting in both official languages; 
  • Experience in information management and administrative support of a team site/collaboration site;
  • Problemsolving skills to resolve various daily problems;
  • Customer serviceoriented with good judgment discretion tact and diplomacy skills.

Assets: 

  • Experience working in a law office or comparable environment; 
  • Certification or designation in office administration.
