Workload Coordination (65%)
Research complex registration transactions and client requests and provide
consultative advice for resolution/implementation.
Work closely with vendors client contacts and internal departments as
appropriate to fulfill state requirements.
Maintain records of needed items by project in a shared location.
Evaluate prerequisites to enable deliberate communication with client
contacts dealers vendors and DMVs prior to team delegation.
Validate required documents dates and information that have been provided
and ensure accuracy.
Authority on department matrices ensuring up to date information on license
and title requirements by state.
Escalate aged items and partner with management for resolution.
Assist management in oversight of team exceptions and ensure timely
response from business partners and thirdparty vendors.
Lead on process documentation maintenance and introduction of new
procedures ensuring team compliance through training.
Department Reporting (25%)
Run daily team workflow reports to determine priorities and identify new work for
delegation/reassignment.
Analyze data to find at risk deals or aged items needing attention.
Use dashboard reporting to follow status and organize follow up with dealers and
vendors.
Engage management when processing days are at risk.
Suggest process improvements to facilitate scale enhance quality productivity
and minimize risk.
Assist management in metrics reporting to establish department benchmarks.
Manage exception processing and ensure all escalated items include root cause
analysis communications to management and resolution of issues
