Job Description

Are you a serviceminded professional looking to join a dynamic retail organization  

Were seeking an Office Responsible to be the welcoming face of our office providing exceptional support to both internal colleagues and external visitors. 

As our Office Responsible youll be the main responsible for managing our office operations and creating a welcoming environment for all visitors. Youll be responsible for ensuring smooth daily operations while maintaining high professional standards in all interactions. 

Key responsibilities including areas such as: 

  • Serve as the first point of contact for all office visitors managing reception services including professional greeting telephone operations and visitor access control according to security protocols. 
  • Coordinate and manage meeting facilities including room bookings setup catering arrangements and maintenance of communal spaces to maintain professional standards. 
  • Oversee office supply management including inventory control stationery ordering and budget management while processing related invoices. 
  • Handle all incoming and outgoing communications including mail processing courier services and internal deliveries with attention to urgent or timesensitive matters. 
  • Maintain accurate documentation and records including emergency cards telephone lists attendance reports and administrative databases. 
  • Coordinate with building management and service providers for facility maintenance cleaning and repair services. 
  • Support the planning and execution of office meetings and events ensuring smooth operations and maintaining highquality standards. 

Qualifications :

The ideal candidate brings a good foundation in office management combined with excellent interpersonal skills. Our requirements reflect our commitment to maintaining a professional and efficient office environment while delivering exceptional service to all stakeholders. 

We also believe you have: 

  • Minimum 35 years of experience in a similar role 
  • Excellent verbal and written communication skills in Swedish and English. 
  • Demonstrated organizational abilities to manage multiple priorities while maintaining attention to detail 
  • Proactive problemsolving skills with the ability to work independently and as part of a team 
  • Costconscious approach to resource management 
  • Adaptable mindset with openness to change and commitment to continuous improvement 
  • Ability to maintain composure and efficiency in a fastpaced environment while upholding high service standards

This is a permanent position based in our Support Office in Stockholm and reports to the Regional Office Manager.
