We are seeking a highly organized and proactive Executive Assistant to support the General Manager of Allergan Aesthetics ANZ. This role requires a dynamic motivated and resourceful individual capable of managing a wide range of administrative and executive supportrelated tasks including the ability to handle confidential information with discretion.
KEY DUTIES AND RESPONSIBILITIES
- Provide highlevel administrative support to the General Manager (GM)
- Undertake complex diary management planning and scheduling for all internal and external appointments with appropriate meeting lead times on behalf of the GM
- Manage extensive national and international travel arrangements for the GM including preparation of expense claims and managing the corporate travel agency with Finance
- Support and drive the preparation of correspondence presentations and reports to the highest standards of grammar
- Assist in preparing agendas and record and distribute minutes by collating relevant information and documentation in particular for the monthly ANZ Leadership Team Meeting
- Coordinate events manage company conferences and offsite meetings
- Utilise sound judgment and knowledge of business units and company matrix to respond to general enquiries and reroute urgent matters in the GMs absence keeping the GM abreast of any issues arising
- Coordinate logistics for visiting members of International Leadership Team if requested
- Edit design and distribute internal communications
- Be first point of contact for media enquiries
- Provide occasional administrative assistance to the Finance Director as required.
- Ensure all business activities comply with the relevant Acts legal demands and ethical standards
- Report any adverse event within 24 hours as per AbbVies policies and procedures
- Proactively participate in AbbVies WHS programs adhere to policies and promote a safe work environment at all times
- Adhere to AbbVies internal codes of conduct and compliance processes
- Other ad hoc duties such as administrative duties as requested
Qualifications :
- Successful completion of High School certificate plus Certificate or Diploma in Business Administration Experience and Abilities
- At least 6 years experience within similar EA/PA roles preferably with a 23 years experience working 1:1 at Director or GM level
- Experience within the pharmaceutical industry/scientific or clinical environment and/or within a sales and marketing environment is desirable
- Professional written and verbal communication skills with a good understanding of business etiquette
- Strong sense of accountability and cando attitude.
- Ability to anticipate needs and action accordingly with sense of urgency.
- Ability to maintain confidentiality of sensitive information and materials.
- Advanced skills in Microsoft Word PowerPoint Excel Outlook
