Job Description

Reporting to the Violations Administrator and providing highlevel administrative support to the Unit the selected candidate will perform difficult and responsible clerical functions. Duties shall include but are not limited to the following:

1.Analyze violations received from various regulatory agencies and create Maximo parent and child work orders as needed to document cited conditions.
2.Analyze completed work orders documents and reports submitted by department and development staff to ensure proper documentation provided can resolve violations based on new and revised regulatory agencies policies and procedures.
3.Conduct regular meetings with neighborhood administrators and or property management supervisors to discuss and review outstanding violations work orders.
4.Follow up and advise various Departments on resolving violations.
5.Work closely with Fire Safety Unit to obtain inspection/test dates system installation/repair status and corrective documentation/reports; follow up on FDNY fire alarm violations.
6.Review/follow up on regulating agency Outstanding Violations Report.
7.Generate reports from Maximo based on unit needs.
8.Compile documents provided and prepare affidavits and dismissal request letters to submit to issuing agency.
9.Prepare reports and assist in initiatives requiring assistance in resolving violations in a timely manner (i.e. RAD PACT).

NOTE: Due to the existence of a civil service list candidates must have permanent civil service status in the title of Principal Administrative Associate to be considered.

Qualifications :

1. A baccalaureate degree from an accredited college and three years of satisfactory fulltime progressively responsible clerical/administrative experience one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory fulltime progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in 1 above; or
3. A fouryear high school diploma or its educational equivalent approved by a States department of education or a recognized accrediting organization and five years of satisfactory fulltime progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in 1 above;
4. Education and/or experience equivalent to 1 2 or 3 above. However all candidates must possess the one year of administrative or supervisory experience as described in 1 above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in 1 above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3 years.
