Our client an established law firm is seeking a fulltime Legal Assistant with a minimum of one year of experience in estate planning. This role involves supporting the Estate Planning paralegal assisting with reception duties answering phone calls and performing various administrative tasks. The ideal candidate will be professional organized and possess excellent multitasking abilities.
Responsibilities:
- Draft and edit estate planning documents as needed.
- Respond to estate planning inquiries and provide client support.
- Return phone calls and emails promptly.
- Screen and forward voicemails to the appropriate team members.
- Sort and distribute incoming mail.
- Assist with probate matters as required.
- Maintain a clean and organized office environment.
- Witness document signings as necessary.
- Greet clients check them in and notify the attorney of their arrival.
- Schedule appointments for walkins and followups in open time slots.
- Prepare and maintain coffee and water for clients throughout the day.
- Provide support to paralegals and assist with clerical tasks.
- Sort and distribute incoming mail.
- Maintain cleanliness in the office and handle trash disposal.
- Witness document signings as required.
Qualifications:
- Minimum of 1 year of experience as a Legal Assistant in estate planning.
- Proven experience in a legal or administrative role.
- Ability to travel between Sarasota and Venice offices.
- Strong verbal and written communication skills.
- Excellent customer service and interpersonal skills.
- Highly organized with strong attention to detail.
- Proficiency in office technology and software including Microsoft Office Suite.
