Job Overview
We are seeking a highly organized and motivated Junior Administrator with at least one year of experience updating and maintaining CRM systems preferably within the fire safety industry. The ideal candidate will play a vital role in supporting the administrative functions of our team ensuring accurate data management and contributing to the smooth operation of the company.
Key Responsibilities
- CRM Management
- Update and maintain the companys CRM system with accurate and uptodate client project and compliance information.
- Ensure data integrity by regularly auditing the CRM for errors or inconsistencies.
- Generate reports and extract data from the CRM system as required by management.
- Administrative Support
- Assist with daytoday administrative tasks including handling incoming calls emails and correspondence.
- Organize and maintain digital and physical filing systems.
- Support the preparation of client documentation including proposals contracts and compliance certificates.
- Compliance and Documentation
- Ensure all client records meet regulatory requirements for the fire safety industry.
- Coordinate with team members to collect and upload relevant compliance documentation into the CRM system.
- Team Coordination
- Collaborate with the sales operations and compliance teams to ensure seamless communication and workflow.
- Provide scheduling and coordination support for meetings and site visits.
- Customer Service
- Serve as a point of contact for clients addressing general inquiries and redirecting more complex issues to the appropriate department.
- Follow up with clients to ensure satisfaction and maintain excellent relationships.
Requirements
- Experience: Minimum 1 year of experience working with CRM systems ideally in a fire safety or compliancefocused company.
- Technical Skills:
- Proficiency in using CRM platforms (e.g. Salesforce HubSpot or similar).
- Strong knowledge of Microsoft Office Suite (Word Excel Outlook).
- Industry Knowledge: Basic understanding of the fire safety industry and its compliance requirements is highly desirable.
- Organizational Skills: Exceptional attention to detail time management and the ability to prioritize tasks effectively.
- Communication: Excellent written and verbal communication skills.
- Team Player: Strong interpersonal skills with the ability to collaborate effectively within a team environment.
- ProblemSolving: Proactive and able to address issues independently when needed.
Preferred Qualifications
- Familiarity with fire safety regulations and standards such as BS 5839 or related guidelines.
- Experience in generating reports and creating dashboards within a CRM system.
- Previous experience in a customerfocused role is an advantage.
