A fastgrowing solar energy business based in Melbourne is looking for a motivated and detailoriented AU Solar Admin. Assistant to join their team and support their mission to create a greener future.

The Admin. Assistant will play a key role in ensuring the smooth and efficient operation of the business. You will be responsible for a range of administrative tasks supporting the sales installation and operations teams and maintaining strong communication with customers and suppliers.



Key Responsibilities

  • Administrative Support:
    • Manage daytoday office operations including phone calls emails and correspondence.
    • Maintain and organize records files and documentation.
    • Prepare and process quotes invoices and purchase orders
  • Customer Service
    • Serve as the first point of contact for customers addressing inquiries professionally.
    • Schedule and coordinate site inspections installations and service appointments.
    • Ensure timely followup with customers to provide updates or resolve issues.
  • Team Coordination:
    • Support the sales and installation teams with data entry documentation and communication.
    • Monitor stock levels and liaise with suppliers to ensure timely delivery of materials.
    • Coordinate with electricians and installers to manage project timelines.
  • Compliance and Reporting:
    • Ensure compliance with local solar industry regulations guidelines and documentation requirements.
    • Assist with the preparation of reports tracking project progress and maintaining project databases.
    • Complete electrical safety certificates.
    • Complete electricity grid connection and preapproval paperwork.




Requirements

  • Previous experience in administration customer service or a similar role.
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word Excel Outlook) and CRM systems (e.g. Zoho HubSpot or similar).
  • Knowledge of the solar or renewable energy industry is advantageous but not essential.
  • Knowledge of Simpro job management software is advantageous but not essential.
  • Ability to work independently and collaboratively in a team environment.
  • High attention to detail and a proactive approach to problemsolving.


Benefits

1. Monthly Salary: Php35000
2. Salary will be paid on a bimonthly basis on the 15th and 30th or 31st of each month
3. You will be paid extra for overtime and Philippines public holidays
4. Probation: 6 months and after Probation
  • 10 days annual leave credits
  • 5 days of sick leave
5. HMO Offered after 6month probation
6. 13th Month Pay after 30 days
7. Annual Appraisal
8. Laptop provided after 30 days
9. Permanent workfromhome role. You will have to use your own internet.
10. SHIFT TIMES: 5:00 AM to 2:00 PM Philippine time Monday to Friday

Previous experience in administration, customer service, or a similar role. Strong organizational and time management skills, with the ability to prioritize tasks effectively.
