This is a remote position.
We are seeking a highly organised proactive and detailoriented Executive Assistant to provide comprehensive support to our Executive Team. The ideal candidate will have exceptional multitasking abilities a strong sense of initiative and proficiency in administrative functions diary management and travel coordination. This role also requires expertise in preparing presentations managing expenses and assisting with board governance.
PERFORMANCE OBJECTIVES:
Efficiently manage and coordinate the executive s calendar ensuring all meetings appointments and events are scheduled accurately.
Send timely reminders and prepare meeting materials in advance.
Prepare format and edit reports documents and correspondence with accuracy.
Design and create professional presentations using graphic tools such as Canva Illustrator or similar platforms.
Organise and book travel arrangements including flights accommodations and transportation.
Process and track expense reports for the executive ensuring accuracy and compliance with company policies.
Provide administrative support for board meetings including agenda preparation minutetaking and followups.
Ensure compliance with governance policies and maintain confidentiality.
Edit and proofread various documents for clarity grammar and formatting.
Manage the executive s email inbox prioritise tasks and respond to inquiries as needed.
Coordinate and confirm appointments both professional and personal ensuring seamless scheduling.
Minimum of 35 years in an Executive Assistant or similar administrative role ideally supporting senior executives.
Bachelor s degree in Business Administration Communications or a related field preferred.
Strong proficiency in Microsoft Office Suite (Word Excel PowerPoint) and graphic tools like Canva or Illustrator.
Exceptional organisational and timemanagement skills.
Excellent written and verbal communication skills.
Experience with board governance and minutetaking is an advantage.
High attention to detail and a proactive approach to problemsolving.
Ability to work independently and collaboratively within a fastpaced environment.
Ability to manage sensitive and confidential information with discretion.
