About the Role:
We are seeking a highly organized proactive and resultsdriven Virtual Assistant/ Operations Manager to oversee the smooth functioning of our team and operations. This individual will play a critical role in ensuring deadlines are met team members are held accountable and processes are optimized to achieve our ambitious goals. Key Responsibilities:
Team Management & Accountability
- Act as the central point of accountability for ensuring tasks are completed on time and team members adhere to schedules.
- Proactively identify bottlenecks and inefficiencies and take swift action to address them.
- Hold team members accountable for their performance including reassigning or removing individuals from projects and teams when necessary to maintain productivity and alignment with goals.
- Foster a resultsdriven team culture focused on achieving objectives efficiently.
Hiring Training and Documentation
- Lead the recruitment process from sourcing and interviewing to onboarding new team members.
- Develop maintain and improve training materials and operational documentation to ensure seamless knowledge transfer and process consistency.
- Conduct training sessions to prepare new hires and upskill existing team members.
Communication & Reporting
- Manage the weekly company newsletter ensuring consistent clear and professional communication.
- Prepare detailed weekly reports tracking team member performance project status and key activity metrics.
- Collaborate across departments to ensure alignment and transparency in operations.
Customer Support
- Handle customer service inquiries with professionalism and efficiency providing prompt resolutions to client concerns.
Product Testing
- Test new product features and provide detailed feedback to enhance functionality and user experience.

Requirements:
- Experience & Skills:
- At least 3 years of proven experience in operations management virtual assistance or a similar role.
- Strong organizational and multitasking skills.
- Exceptional written and verbal communication abilities.
- Experience with HubSpot and Asana are a plus
- Work Ethic:
- Aggressive in meeting deadlines and timelines with a resultsoriented mindset.
- Willing to work hard and long hours if necessary to meet the demands of the role.
