Job Description

Job purpose & objectives :

In this role you will provide comprehensive support to our External Affairs and HR departments assisting team members with administrative financial and logistical processes. You will ensure that all financerelated activities events meetings and other processes are supported in a compliant and meticulous manner.

Given the departments key role in AbbVies communication with internal and external stakeholders you will also contribute to these efforts. The Management Assistant for External Affairs is responsible for managing internal communication channels and ensuring external communication materials are uptodate and approved. You will support the European team as needed in engagements with patient associations.

Administrative support will also be provided to the HR department.

 

Key responsibilities:

  • Ensure proper execution coordination and good outcome of all administrative activities.
  • Initiation and followup of contacts suppliers Purchase Orders and Invoices.
  • Initiation and followup of Service Agreements.
  • Track expense budget and expense forecast.
  • Optimize logistic and administrative support to managers by anticipating needs.

 

Tasks and responsibilities:

  • Ensure the smooth running of interaction processes with external partners strictly adhering to internal compliance.
  • Manage the practical organization of affiliate employee meetings.
  • Assist the business with administrative tasks: adapting presentations coordinating internal events and handling projects as necessary.
  • Conduct necessary followups to support patient organizations endorsed by AbbVie BeLux and AbbVie Europe.
  • Take minutes and follow up with team members.
  • Handle adhoc tasks as requested by Directors and Managers.
  • Ensure followup of all contracts POs accruals

Qualifications :

  • Bachelors degree in Office Management or equivalent experience.
  • Strong sense of compliance with rigorous application of procedures.
  • Proficiency in MS Office 365 tools (MS Teams PowerPoint Excel Outlook SharePoint).
  • Excellent verbal and written communication skills in French and English; knowledge of Dutch is an asset.
  • Outstanding organizational skills with a strong sense of responsibility.
  • Ability to work autonomously while effectively managing priorities.
  • Teamoriented dedicated to supporting both the business and external clients.
  • Flexible and adaptable to commercial and international environments.
  • Proactive mindset with the ability to take initiatives.
