As part of this commitment we are embarking on an exciting digital transformation to implement a new modernized hospital information system (HIS). Our dedicated HIS team will collaborate closely with our trusted HIS vendor (Epic) and internal subject matter experts to develop a fully functional system that will empower us to deliver exceptional care and services.
The Epic Digital Transformation Specialist will be responsible for supporting change initiatives and translating clinical and nonclinical data requirements for the HIS project. Acting as a liaison between clinical and nonclinical stakeholders they will review clinical requirements and validate information required for build activities for Epic. In addition this role will focus on developing and maintaining a strong superuser program. It will involve monitoring and promoting the utilization and adoption of the Epic to achieve HIMSS EMRAM (Electronic Medical Record Adoption Model) Level 7 as well as supporting business continuity initiatives. This role is part of the HIS project structure with a key responsibility to design deliver and sustain our systems to address both clinical and nonclinical needs ensuring the HIS is utilized effectively and efficiently in patient care.
Accountabilities:
- Act as liaison to translate clinical and nonclinical data requirements from stakeholders to other members of the Epic project team to design optimized workflows that support system adoption
- Lead and facilitate meetings with operational leadership subject matter experts and application analysts through projectbased work and by developing tools and systems to support end users ongoing needs for evidencebased standards and datadriven decision making
- Employs a deep understanding of the systems backend to effectively translate its functionalities enhancing stakeholder comprehension and engagement
- Support Epic adoption by monitoring compliance to achieve HIMSS EMRAM Level 7
- Assess the progress of Oslers digital transformation journey while collaborating closely with professional practice and clinical operational leadership to advance the culture of clinical informatics competency within the organization
- Develop and execute comprehensive change management strategies to facilitate user adoption and minimize resistance
- Participate in workstreams related to integrated testing validation and user acceptance testing (UAT) to ensure functionality and performance meet organizational standards
- Establish and monitor processes for managing business continuity
- Drive a culture of continuous improvement by analyzing existing processes or participating in organization wide quality initiatives to recommend enhancements
- Develop and execute strategies to boost superuser engagement incorporating regular checkins feedback sessions and recognition programs throughout the HIS implementation and ongoing operations
- Facilitate the documentation and design of current and future state workflows to standardize business processes and enhance patient care while collaborating with crossfunctional teams to document existing workflows including roles responsibilities and decision points
- Create and maintain documentation to build a repository of key configuration decisions and associated build
- Facilitate and participate in meetings to discuss deliverables issues end user concerns and upcoming milestones
- Work closely with HIS team members to identify document and troubleshoot issues to find creative resolutions
- Partner with the Epic vendor representatives to maintain communication and help vendor staff understand hospitals operational needs
- Achieve Epic certification and/or accreditation
- Participate in an oncall rotation to provide 24/7 support
- Work extended hours (days evenings nights weekends) as required
Qualifications :
- Bachelors degree in healthcare information technology healthcare administration or a related field is required.
- Three years of clinical experience in an acute healthcare facility is required or equivalent in a related field is required
- Demonstrated experience in ITenabled clinicianled transformation projects involving complex change management with proven experience in workflow mapping and process design
- Previous experience as a super user change management or in a similar role within an acute health care setting
- Experience with projects related to healthcare metrics (e.g. HIMSS EMRAM Ontario Health QIPs) and quality improvement methodologies is an asset
- Must be an enthusiastic and creative champion capable of inspiring and motivating others with a proven ability to build and maintain strong stakeholder relationships
- Ability to collaborate with stakeholders across various departments to gather requirements and ensure alignment with organizational goals
- Previous experience working with a modernized HIS at an EMRAM Stage 6 or higher and/or Epic certification is an asset
- Strong understanding of hospital workflows in either clinical or nonclinical areas is an asset
- Demonstrated critical thinking skills strong organizational skills and welldeveloped written and verbal communication skills are required
- Demonstrated proficiency working with Microsoft Enterprise applications (i.e. Visio Word Excel PowerPoint Outlook SharePoint OneNote) is required
- Ability to learn new software and systems demonstrating technical aptitude
- Ability to work in an agile environment to deliver an HIS that meets end user needs
- Ability to work independently and in collaboration with a team to meet HIS project milestones and ensure successful project delivery
- Ability to analyze user requirements and produce creative solutions to meet end user needs

- Ability to persevere in a high intensity project to overcome obstacles and difficult situations within a time sensitive implementation
