Job Overview:
We are looking for a friendly organized and customeroriented **Front Office Representative/Customer Service Support** to join our team. The ideal candidate will serve as the first point of contact for our customers and visitors ensuring they have a positive experience with our company. This role is essential in maintaining smooth office operations assisting clients handling payments and supporting our administrative team with daytoday tasks.
Key Responsibilities:
Greet and welcome visitors as they arrive at the office ensuring a positive first impression.
Answer screen and forward incoming phone calls in a polite and professional manner.
Respond to customer inquiries via phone email and in person providing accurate and timely information.
Process customer payments for insurance premiums ensuring accuracy and timeliness.
Maintain customer account information ensuring that payments are properly recorded and receipts are issued.
Assist customers in understanding their billing statements and resolving any paymentrelated concerns.
Schedule and coordinate appointments meetings and customer service requests.
Assist in resolving customer issues or complaints escalating them to the appropriate department when necessary.
Maintain the reception area and common areas ensuring they are clean and organized.
Manage incoming and outgoing mail packages and deliveries.
Provide clerical support to various departments (e.g. data entry filing document preparation).
Reconcile daily payment transactions and report discrepancies to management.
Collaborate with other departments to ensure customer satisfaction and smooth workflow.
Key Skills:
High school diploma or equivalent required; additional qualifications in office administration or customer service are a plus.
Proven experience in a front office or customer service role particularly in the insurance industry.
Experience in processing payments including credit card check and electronic payments.
Knowledge of insurance billing procedures and customer account management.
Attention to detail in handling financial transactions and maintaining customer records.
Excellent communication and interpersonal skills.
Strong organizational skills and the ability to multitask.
Proficiency in Microsoft Office Suite (Word Excel Outlook) and familiarity with office equipment (e.g. fax machines printers).
Familiarity with insurance industry software or customer management systems is a plus.
