Job Overview:
We are looking for a highly efficient Administrative Manager to manage and coordinate office and facility operations across various locations including corporate offices management residences and factory spaces. The ideal candidate should have strong knowledge of administrative management including vendor management government liaison and IT procurement along with familiarity with Mumbai s geography for smooth operational coordination.

Key Responsibilities:
  1. Office Operations:
  • Manage daily administrative tasks and ensure adherence to organizational standards across all office locations.
  • Implement best practices to streamline office functions and optimize operational efficiency.
  • Ensure availability and procurement of office supplies including stationery and equipment.
  1. Facility Management:
  • Supervise maintenance and security across office spaces management residences and the factory.
  • Ensure all locations adhere to safety regulations and handle space utilization effectively.
  1. Vendor & AMC Management:
  • Handle vendor relations including contract negotiations for office services IT equipment and maintenance.
  • Manage annual maintenance contracts (AMCs) for office supplies ensuring timely renewals and service.
  1. Government Licenses & Liaisoning:
  • Oversee registration licensing and certification processes for all office locations.
  • Liaise with government bodies such as BMC police departments and other authorities to secure required permissions for office operations and expansions.
  1. Communication & Coordination:
  • Act as a key point of contact between departments for seamless communication and coordination.
  • Collaborate with management to resolve administrative challenges and enhance efficiency.
  1. Budget Management:
  • Assist in the development and management of administrative budgets ensuring resources are allocated effectively.
  • Monitor and control administrative expenses suggesting costeffective solutions.
  1. Record Keeping:
  • Maintain proper documentation of office inventory employee records vendor contracts and equipment.
  • Ensure compliance with company policies and legal requirements in recordkeeping.
  1. Human Resources Support:
  • Collaborate with the HR department to facilitate recruitment onboarding and employee welfare initiatives.
  • Ensure administrative compliance with Indian labor laws.
  1. IT & Tech Procurement:
  • Handle the purchase and maintenance of office IT and tech equipment.
  • Ensure timely upgrades and proper functioning of office technology infrastructure.
  1. Problem Solving:
  • Address and resolve operational issues and identify areas for process improvements.
  • Proactively introduce administrative best practices for improved efficiency.
  1. Government Permissions:
  • Obtain permissions from municipal bodies (BMC) police departments and other authorities for office spaces and operations.

Qualifications:
  • Bachelor s degree in Business Administration Management or a related field.
  • Proven experience in managing administrative operations preferably across multiple office locations.
  • Strong organizational skills and leadership capabilities.
  • Experience with vendor management AMC handling and IT equipment procurement.
  • Familiarity with Mumbai s geography and willingness to travel as required.
  • Strong verbal and written communication skills particularly in Hindi and English.
  • Proficiency in office management software.

Key Requirements (MustHave):
  • Communication Skills: Excellent verbal and written communication in English and Hindi.
  • Vendor/AMC Management: Experience managing external vendors and service agreements.
  • Office Infrastructure: Strong understanding of office facility management and procurement.
  • Local Residency: Reside in Mumbai preferably within specified locations for easy coordination.

Good to Have:
  • Active on social media.
  • Familiarity with new technologies like ChatGPT and Canva.
  • Knowledge of HRMS software for administrative support.
