Job Title: Event Manager
Job Summary: We are seeking an experienced and proactive Event Manager to oversee and execute endtoend event planning and operations. The ideal candidate will be responsible for ensuring smooth event execution managing budgets overseeing teams and coordinating with suppliers and clients to ensure highquality seamless events.
Key Responsibilities:
Event Management:
- Lead and manage event projects from inception to execution.
- Ensure adherence to processes and deliver highquality consistent events.
- Handle supplier coordination resolve client queries and troubleshoot onsite to ensure flawless event operations.
- Supervise onsite production ensuring that the clients vision is translated accurately into the event experience.
- Oversee setup and technical rehearsals ensuring smooth event flow and execution.
- Source and secure venues conduct site recces and manage event logistics including fabrication technical requirements guest relations and flow.
Event Operations:
- Oversee all aspects of event operations including budgeting vendor selection and negotiations.
- Develop and maintain relationships with internal teams and external vendors.
- Create policies to optimize thirdparty cost management and submissions.
- Take ownership of event budgets and maintain PnLs for each event.
- Possess technical knowledge of Sound Light AV equipment and manage these technical aspects.
- Oversee vendor payment reconciliation including advances and bills in coordination with the finance team.
- Manage manpower including volunteers and thirdparty staff from partner institutions.
Planning and Supervision:
- Lead the creation and management of event budgets and creative outputs.
- Assign roles set objectives monitor progress and resolve issues promptly.
- Conduct recces with clients for major events and oversee postevent followup and vendor management.
Logistics Management:
- Oversee logistics including vehicle management material transportation and the printing of event materials.
- Manage inventory material transport and event merchandising/gifting.
- Ensure proper processes are followed for vendor and team logistics including vehicle entry/exit manpower lists and material handling.
Team Leadership:
- Lead motivate and guide a team of 56 members to execute event operations successfully.
- Foster team growth through training and knowledge sharing.
- Delegate tasks effectively and manage team performance.
Desired Qualifications:
- Experience: 8 years in event management with a strong background in handling complex events.
- Industry: Event Management or related fields.
- Education: UG/Graduate/PG; MBA in Project Management (preferred).
