Job Description

Event Management Coordinator (Logistical Coordination & Planning)

Job Summary:

The Event Management Coordinator is responsible for planning and organizing a variety of events including corporate meetings conferences seminars and social gatherings. This role involves seamless and successful execution of events by managing logistical operations through meticulous planning effective communication overall management and coordination.

Responsibilities

  • Raise request in event management software tool (Cvent)
  • Logistical Planning: Develop comprehensive logistical plans for events including timelines schedules logistic requirements and resource allocation.
  • Logistic management of complete event life cycle by overseeing and coordinating with onground POCs and workplace
  • Venue Coordination: Identify evaluate and secure event venues ensuring they meet the requirements and standards of the event by coordinating with location workplace and facility team
  • Event Preparation: Act as bridge between central events team and markets. Plan and coordinate logistics requirements like audio visual photobooth stationary Food & Beverages stall setup coordination with emcee etc. . Attend event coordination calls with market and other stakeholders.
  • Budget Management: Monitor and manage event budgets ensuring costeffective solutions and adherence to financial constraints. Get best quotes and manage procurement of event supplies
  • Compliance and Safety: Ensure that all events comply with relevant regulations policies and safety standards.
  • Equipment and Supplies: Ensure the availability of all necessary equipment and supplies for events.
  • Coordinate with market POCs to create event registration on TAW and/or other supporting portal to track participation //add to planning
  • Coach onground POC: Instruct and guide OnGround POC teams for preparation till event day
  • Reporting: Provide regular updates and reports on logistical preparations and onsite activities to market POC and ACET team
  • PostEvent Evaluation: Conduct postevent evaluations to assess logistical success and identify areas for improvement. Provide weekly/monthly update during CET business review meetings

Qualifications

    • Time management and seamless delivery
    • Able to manage multiple stakeholders at a time like central events team market HRs vendors etc..
    • Program Management experience is preferable*
    • Strong negotiation skills and ability to manage vendor relationships
    • Strong project management skills including the ability to prioritize and manage multiple projects simultaneously
    • Strong understanding of logistical planning and coordination principles.
    • Proficiency in event management software tools (e.g. Cvent) and MS office suit

  • Experience
    • 46 years of experience in overall event management in IT/ITES hospitality airlines retail or other related industry
    • Proven experience in event planning and logistical coordination preferably in a corporate or professional setting.

  • Education

    • Bachelors degree in Event Management Hospitality Business Administration or a related field

Additional Requirements :

  • Flexible to travel within base or outside location on need basis
  • Events may require working outside normal business hours and on weekends
