Job Description:

As an Executive Assistant/Operations Specialist youll be the goto support system for the COO and CEO. Youll streamline processes manage data track client progress and ensure accurate billing.

Your Daily Tasks:

Operational Support for Senior Leadership
  • Act as the goto operational support for the COO and CEO proactively identifying and managing tasks to optimize their focus on highlevel initiatives.
  • Streamline processes and implement best practices to maximize the productivity of senior leaders.

Data Reconciliation and Analytics

  • Manage data collection reconciliation and reporting to provide valuable insights on business performance and client status.
  • Conduct analytics to track the cost of leads client engagement status and other operational metrics that impact decisionmaking.
  • Own and optimize customer data flow ensuring accuracy and consistency across systems and reports.

Customer Management and Status Tracking

  • Oversee the internal status tracking of clients ensuring data is uptodate consistent and accessible to internal stakeholders.
  • Collaborate with customerfacing teams to maintain accurate records of client activities progress and potential issues.
  • Serve as the central point of knowledge on client status supporting senior leaders with insights to drive customer satisfaction and retention.

Billing and Payment Processing

  • Take primary ownership of the billing cycle ensuring all billable items are accounted for invoiced and actively monitored.
  • Reconcile payments track outstanding invoices and maintain accurate client billing records.
  • Uphold extreme accuracy and attention to detail in all billingrelated activities to avoid discrepancies and improve financial transparency.

Project Management and Process Optimization

  • Support the COO and CEO in managing project timelines deliverables and resource allocation.
  • Identify opportunities to streamline processes reduce inefficiencies and improve interdepartmental communication.
  • Provide consistent updates and overcommunication to keep all stakeholders informed and aligned on project progress and clientrelated activities.

Requirements

The Qualifications We Seek:

  • Experience: Minimum of 35 years of experience in operations support executive assistance or project management.
  • Analytical Skills: Strong quantitative and data management skills with experience in data reconciliation and reporting.
  • Client and Project Management: Proven ability to manage customer data tracking and maintain awareness of project deliverables and timelines.
  • Attention to Detail: Extreme attention to detail especially in managing billing and payment processing.
  • Communication: Exceptional verbal and written communication skills with a high level of comfort in proactive communication.
  • Technical Proficiency: Advanced knowledge of CRM systems Microsoft Office Suite (Excel in particular) project management software (e.g. Asana Trello) and financial tracking tools.
  • ProblemSolving: Demonstrated ability to think critically proactively solve challenges and adapt to changing priorities.
  • Organizational Awareness: Understanding of organizational structures processes and best practices in operational support.
