Roles & Responsibilities
Oversee the procurement of regular office supplies through effective systems and procedures and ensure that quality items are procured at the lowest possible price and also monitor the utilization and ensure minimum wastage. Ensure that quality products and services are procured as per the procurement guidelines of org within the prescribed timelineand ensuring value for money.
Responsible for procurements of goods and services in close coordination with the Project teams as per specifications.
Invitation of quotation from different agencies and companies for the arrangement of material as per procurement policy and as perrequirement of project.
Obtain/review quotes/ terms of reference preparation of comparative analysis of quotations and obtain approval as per policy.
Preparation of contract agreement of consultant/contractors including addendums/ extensions if needed.
Follow up with vendors for execution of Purchase order and timely delivery as per PO terms. Advise and support to all state offices on procurement and admin related procedures. In coordination with project teams oversee procurement and delivery of goods & services including maintenance services
To bring saving in procurement through competitive bidding.
Empanelment of Vendors in process for office supplies services Taxi hotel Air ticket Stationery Printing merchandise IT and NonIT Items.
Check vendor bills for specific vendors handled by Delhi office and follow up for regularized payments
Managing and maintaining the existing vendors. Developing new vendors in an ongoing process.
Coordination with vendors for better rates and improved work.
Responsible for approval of procurement up to monitory threshold specified in Procurement manual.
As part of Procurement Committee to ensure all approvals are obtained or if any query/insufficient document are required from project teams.
To coordinate for approvals within stipulated time period.
Supervise and help where required Provide support for the organization meeting / event air ticket booking hotel and taxi booking of org and partner org members including obtaining quotations and making arrangements at venues.
Manages and maintains the office infrastructure including office equipment furniture furnishings building and facilities of the organization likeprinters and other services etc. Ensuring proper upkeep of the facility along with space planning and allocation of the seats. Preparation/review of lease agreements service level agreement or any other legal documents of org and its entities.
IT products such as Laptops Tabs Notepads & Projectors; Tinkering Labs; Various kits such as Math Kit Science Kit & Robotics; DYI kits;
School Furniture; Library set up; Laboratory set up; STEM Labs; Smart Class; Civil work like classroom washrooms; Access to clean drinking water; Sports goods; BaLA Painting; Faade work; Printing; Stationery; Video development; Event management.
Travel desk including cab services;flight bookings; hotel accommodation arrangements etc.
