The ideal candidate will exhibit high standards excellent communication skills and an ability to take the initiative and prioritise daily tasks. A solid ability to take charge and meet tight deadlines will ensure your success in this multifaceted role. With a balance of administrative support and personal assistance youll be a vital part of our daily workflow gaining invaluable exposure to the inner workings of a fastpaced organization.
Responsibilities:
- Schedule Management: Coordinate and manage busy calendars ensuring that appointments are scheduled efficiently and reminders are set. Youll keep track of key meetings and deadlines helping to minimize scheduling conflicts and maximize productivity.
- Task Prioritization: Organize and prioritize daily todo lists allowing the team to focus on highimpact tasks. Your role will be essential in creating structure and clarity ensuring that no tasks slip through the cracks.
- Communications Support: Draft edit and manage emails messages and internal memos with a professional tone. Youll help keep communication lines open and flowing smoothly responding to messages promptly and following up as needed.
- Document Management: Maintain an organized filing system for important documents records and contracts. Youll ensure information is easy to locate and secure managing both digital and physical files for quick retrieval and reference.
- Meeting Preparation & FollowUp: Prepare agendas gather relevant materials and handle meeting logistics. During meetings youll take notes and track followup actions ensuring no detail is missed and all tasks are assigned and completed promptly.
- Errand Assistance: Support with occasional personal tasks to help our leadership team focus on strategic priorities. This may include arranging gifts booking personal appointments or assisting with special projects as needed.
- Project Coordination: Take the lead on specific miniprojects or tasks assigned by leadership coordinating resources and timelines. Whether its organizing an office event or managing special assignments youll help bring initiatives to life.
- Research Assistance: Conduct research on a variety of topics gathering data and compiling relevant information. Your research skills will support decisionmaking and contribute to strategy development.
- Proactive Mindset. Anticipate needs think ahead and arent afraid to take initiative and/or sensecheck ideas with leadership team whilst ensuring that projects run smoothly.
