Virtual Rockstar is seeking a dedicated and detailoriented Medical Virtual Assistant to support our client s home health therapy practice. The ideal candidate will play a crucial behindthescenes role by assisting our client s team with administrative tasks client management and communications. This position will help ensure smooth daily operations and strengthen client relationships.

Responsibilities:
Client & Lead Management:
Respond promptly to phone calls texts (via GoHighLevel/VMM) emails (via Gmail) and chat inquiries (via Google Drive/Google Chat).
Follow up with new leads in CRM ensuring intake and referral processes are completed according to company procedures.
Administrative Support:
Handle data entry including file creation in GoHighLevel and HelloNote.
Document updates in clinic management systems (HelloNote and GoHighLevel).
Conduct insurance verifications (ND Medicaid thirdparty insurance) and enter relevant details into Athelas (thirdparty billing company).
Manage incoming faxes and ensure timely updates to client records.
Facilitate followups with clients providers and referral sources.
Coordinate the management of ROM Tech devices.
Ensure seamless transitions of client information across systems.
Communication & Coordination:
Act as a communication hub between clients therapists providers and referral sources ensuring all parties are informed and coordinated.
Send out intake forms insurance questionnaires and other necessary documentation via email or text.
Support the team by adhering to established standard operating procedures (SOPs) to maintain consistency and efficiency.
Experience with Google Workspace/G Suite (Gmail Calendar Drive Docs Sheets).
Familiarity with GoHighLevel (GHL/VMM) CRM.
Experience using HelloNote (EHR) or similar systems is preferred.
Proficiency with Canva for social media and marketing tasks.
Strong organizational skills and attention to detail.
Ability to maintain confidentiality and handle sensitive information.
Excellent communication skills (both verbal and written).
Strong problemsolving skills and ability to work independently in a remote setting.
Previous experience in healthcare administration or medical virtual assistance is a plus.
