Job Description: Global Mobility Shared Services Analyst (USI)
Job Overview:
As part of the USI Global Mobility Shared Services Team you will play a key role in providing administrative and operational support to the Global Mobility teams across member firms (MF). You will be responsible for managing workflows ensuring compliance with global mobility policies and maintaining the accuracy of data across various systems. The role requires a detailoriented and proactive individual who can handle complex processes and work collaboratively with crossfunctional teams to ensure the success of mobility initiatives.
Key Responsibilities:
Administrative Support to Global Mobility Teams:
- Provide essential administrative assistance to the Global Mobility teams within member firms (MF) supporting various talent and mobility activities.
- Assist with gathering and organizing documents and resources related to mobility activities ensuring all required information is captured accurately.
- Coordinate with internal teams to address any mobilityrelated queries or requirements.
Document and Workflow Management:
- Create manage and maintain documents files and records related to global mobility activities ensuring all documentation is compliant with internal standards.
- Initiate coordinate and track mobility workflows including assignment approvals visa applications relocation coordination and other mobility milestones.
- Ensure all critical mobility activities are tracked and executed in a timely manner maintaining an organized system for monitoring progress.
Global Compliance Support:
- Assist in ensuring global mobility activities comply with internal policies legal requirements and regulatory standards.
- Identify variances or deviations from global policies and work with relevant teams to address discrepancies and ensure policy adherence.
- Support the tracking and reporting of compliance metrics to ensure the mobility program operates efficiently and in line with company guidelines.
Data Accuracy and System Management:
- Ensure the accuracy and integrity of all information by managing the entry maintenance and updating of data in relevant systems on an ongoing basis.
- Support data entry related to employee relocations assignments and international transfers ensuring that all information is uptodate and correct.
- Generate regular reports and updates from the system to assist with tracking and monitoring of mobility activities.
Notification and Reminder Management:
- Track and send standard notifications and reminders to necessary teams professionals and leads involved in the mobility process.
- Ensure timely communication of key milestones reminders for upcoming tasks (e.g. visa renewals relocation deadlines) and other important notifications to keep processes on track.
CrossFunctional Team Collaboration:
- Collaborate with HR Finance Legal and other relevant departments to ensure smooth and efficient execution of mobility activities.
- Liaise with external service providers (e.g. relocation firms immigration consultants) when required to ensure seamless support for global mobility processes.
Skills and Qualifications:
Education:
- A Bachelor s degree in Human Resources Business Administration International Relations or a related field is preferred.
Experience:
- Minimum 12 years of experience in global mobility human resources or administrative roles with exposure to talent management or international assignments being a plus.
- Experience with administrative duties and coordination of workflows or processes is highly desirable.
Skills:
- Strong organizational skills and attention to detail with the ability to manage multiple tasks and deadlines.
- Proficiency in Microsoft Office Suite (Excel Word PowerPoint Outlook) and experience with HR management or global mobility software is a plus.
- Strong written and verbal communication skills with the ability to collaborate with global teams and external stakeholders.
- Problemsolving skills and the ability to identify discrepancies and find resolutions in a timely manner.
Knowledge:
- Familiarity with global mobility processes policies and best practices (e.g. international assignments tax compliance visa and immigration processes).
- Basic understanding of HR talent management and employee relocation procedures.
