Job Description

Position: Executive Assistant/Bookkeeper

Working Hours: MF 8 am to 5 pm EST TBD

About the company:

We are seeking an Executive Assistant responsible for providing highlevel administrative support to executives ensuring smooth daytoday operations and enabling the executives to focus on strategic tasks. The assistant would manage schedules handle communications organize meetings and perform various administrative tasks to streamline the executive's workload and improve efficiency.


Duties and Responsibilities:

Calendar Management:
Prioritize tasks and coordinate appointments meetings and events.
Maintain and manage the executive's personal and professional calendars.
Implement systems to organize inboxes such as labels folders and fillers
Ensure personal commitments and downtime are scheduled to maintain a healthy worklife balance

Communication Handling:
Handle correspondence emails phone calls and other communications.
Draft and respond to correspondence on behalf of the executive.
Manage GoHighLevel communication channels
Project Oversight:
Assist in planning executing and managing various projects related to a roofing and solar company.
Collaborate with teams to ensure project success.

Task Management:
Handle a variety of administrative tasks to keep the executive focused on
higherlevel responsibilities.
Prioritize and complete tasks on the executive's todo list.

Travel Coordination:
Arrange travel plans including flights accommodations and itineraries.

Ensure all travel details are wellorganized and communicated.

Meeting Preparation:

Prepare agendas and materials for meetings.
Take and distribute minutes and follow up on action items.

Personal Assistance:
Conduct research and gather information for decisionmaking
Oversee daytoday operations
Assist with personal tasks and errands as needed
Maintain confidentiality and handle sensitive information with

Financial Administration:
Assist with invoicing keeping track of expenses and organization.
Crossreference bank statements with accounting software to confirm accuracy.

Requirements:

  • Between 1 and 7 years of relevant experience in the role.
  • Knowledge of civil litigation procedures and legal terminology.
  • Experience in legal research and document drafting.
  • Proficient in Microsoft Office 365 (particularly Excel) and Google Workspace.
  • Experience in Notion is a huge plus.
  • Consistently reviewing and ensuring progress on our goals and objectives weekly or monthly is essential for accountability.
  • High attention to detail and ability to manage multiple tasks simultaneously.
  • Selfstarter that requires minimal supervision.
