Job Description

Job Description: Executive Assistant / Project Coordinator

Job Type: fulltime contractor remote PH

Position Overview:
We are seeking a detailoriented Executive Assistant / Project Coordinator to provide essential support to our Project Managers Tim and Aaron. This role emphasizes project management responsibilities ensuring that projects are organized on track and effectively communicated among stakeholders.

Key Responsibilities:

  • General Support:

    • Perform executive assistant duties as needed including managing calendars scheduling meetings and preparing materials for presentations.
  • Program and Project Management:

    • Assist with program and project development by creating boards in monday.com to define timelines assign tasks (including to the Chief Pilot and Show Producer) and track budgets using the "Numbers" column type.
    • Monitor project progress within monday.com boards utilizing features like "Updates" and "Activity Stream" to identify and mitigate risks. Set dependencies between tasks to provide a clear visual representation of workflows.
    • Coordinate with internal and external stakeholders by creating dedicated monday.com boards for each project facilitating transparent communication and information flow through comments and file attachments. Utilize the "Guest Access" feature for external collaborators.
    • Organize and prepare meeting materials within monday.com boards including creating agendas in the "Text" column assigning action items as subtasks and uploading minutes for easy reference.
    • Conduct research and gather information using monday.com's search functionality and integrations with external tools to support project needs.

Requirements and Qualifications:

  • Excellent organizational and time management skills with the ability to prioritize multiple tasks effectively.
  • Strong communication and interpersonal skills capable of working with a variety of personalities.
  • Proficient in Google Workspace Suite and Microsoft Office Suite (Word Excel PowerPoint) as well as project management tools.
  • Ability to work independently take initiative and manage responsibilities with minimal supervision.
  • Experience in program and project management is strongly preferred.
  • Familiarity with monday.com or other project management software is a plus.
