The firm specializes in deep market insights and extensive personal relationships across the enterprise software cybersecurity internet of things (IoT) industrial tech artificial intelligence sports marketing tech and digital media sectors.
About the role:
Our client is seeking a positive motivated professional detailobsessed and trustworthy Marketing & Operations Assistant to support the daytoday work and operations of team. The ideal candidate will support an organization of forwardthinking industry leaders whose achievements come as a result of hard work ingenuity and consistently exceeding expectations.
Responsibilities:
Marketing Responsibilities
• Assist with email marketing initiatives for each event through list building & data scoping campaign planning & management and creating a seamless audience journey.
• Support marketing campaigns through editing formatting testing and launching email blasts.
• Help to track event data by recording email responses in company’s CRM and shared documents.
• Ensure data integrity by helping to maintain contacts and accounts in company CRM.
Market Research
• Conduct market research to gather data on industry trends attendee/client target accounts and competitors.
• Help scope new prospective attendees and clients through external company databases.
Content Creation
• Assist in creating and editing marketing content including social media updates email campaigns and website content.
Event Coordination
• Assist with event logistics invitations registrations and followup communications.
• Help with Event Day including back end management of Zoom and tracking attendees.
Operations Responsibilities
• Scheduling & Calendar Management.
• Support scheduling and maintaining calendars and scheduling team meetings client calls booking conference rooms and web conferencing.
• Ensuring effective calendar management by prioritizing inquires and request while troubleshooting conflicts; make recommendations to ensure smooth daytoday engagements.
• Promptly following up on outstanding meetings and proactively rescheduling as needed.
• Notifying appropriate individuals confirming meetings and verifying details.
• Prepare meeting materials and reports in a timely and organized fashion.
• Respond to emails in a timely manner.
Administrative Support
• Provide administrative support to the team including data entry filing and document preparation.
• Crosschecking and proofreading documents for accuracy such as: agendas client decks and documents internal team organization documents.
• In some cases participate in meetings or listen to a recording and then generate/distribute meeting notes.
Additional Duties
• Identify opportunities for process improvement within marketing and operations functions.
• Support team with various software and tools used in marketing operations such as Salesforce project management tools and other softwares.
• Assist with special team projects.
Qualifications:
The ideal candidate has:
• 13 years direct experience working in a professional office environment as a marketing and operations assistant.
• Experience with executing largescale events and conferences is a plus
• Excellent computer skills and a strong understanding of Microsoft Office Suite (Outlook Excel PowerPoint) is essential
• Ability to multitask execute under tight deadlines work in a fastpaced highstress environment monitor and manage multiple priorities and meet timelines on large projects from inception through completion.
• Excellent written and verbal communication and interpersonal skills – have an ability to interface directly with internal and external stakeholders at all levels and pick up on nuances of client interaction.
• Strong selfmanagement skills and comfort in a dynamic work environment – display a high level of initiative effort and commitment towards completing work in a timely manner and demonstrating responsible behavior.
