This is a remote position.

Schedule:

  • 20 hours per week
  • Monday to Friday flexible hours between 8am and 5pm EST

Job Description

Embark on an exciting journey as a Admin Assistant in the dynamic world of construction and real estate development. This role offers a unique opportunity to dive into the heart of project management focusing on critical financial operations that keep multimillion dollar developments on track. You ll be the linchpin in managing invoices tracking costs and ensuring smooth administrative processes. This position is perfect for detailoriented individuals who thrive on precision and want to gain invaluable experience in the construction industry while working remotely.

Responsibilities

  • Process and review invoices from various suppliers and subcontractors ensuring accuracy and compliance
  • Verify pricing against established sheets applying keen attention to detail
  • Assign appropriate cost codes to invoices contributing to precise project financial tracking
  • Input invoice data into Autodesk construction management software maintaining uptodate project financials
  • Monitor and report on project costs throughout the month providing crucial insights for project managers
  • Prepare processed invoices for accounting team review streamlining financial workflows
  • Handle online fee payments ensuring timely transactions for project continuity
  • Perform diverse administrative tasks to support overall project efficiency
  • Engage in regular Zoom checkins with the project team fostering clear communication

Requirements

  • Proficiency in Microsoft Excel with a focus on data entry and financial tracking
  • Familiarity with Adobe software for efficient document management
  • Quick learner ready to master new software like Autodesk for construction project management
  • Exceptional attention to detail particularly in data entry and financial document processing
  • Strong organizational skills to manage multiple tasks and priorities effectively
  • Excellent written and verbal communication skills in English
  • Selfmotivated with the ability to work independently and manage time efficiently
  • Reliable highspeed internet connection and a dedicated workspace
  • Enthusiasm for the construction and real estate development industry
