Job Description

Consultant Workforce Management

Job Responsibilities:

Client Management:

  • Build and maintain strong relationships with clients serving as the primary point of contact for HR and payroll related queries and issues.
  • Understand client needs and tailor HR solutions to meet their specific requirements.
  • Provide exceptional customer service by addressing client concerns and resolving challenges promptly.

Immigration Services:

  • Provide expert guidance and support to clients on all aspects of Malaysia Immigration and Mobility including Employment Pass Dependent Pass & Professional Visit Pass.
  • Prepare and submit pass applications via ESD & MDEC portals.
  • Liaise with relevant authorities and agencies to facilitate the processing of pass applications.
  • Maintain accurate records of client information ensuring compliance with all relevant data protection and confidentiality regulations.
  • Conduct research and analysis to stay updated on changes in Immigration policies and regulations.

Malaysia Employment Act Expertise:

  • Stay up to date with the latest updates and changes to the Malaysia Employment Act.
  • Provide guidance and ensure compliance with employment laws and regulations.
  • Advise management on employment related matters including contracts terminations and disciplinary actions.

Compliance and Documentation:

  • Maintain accurate records and ensure documentation aligns with legal company and client standards.
  • Monitor changes in employment law and immigration policies ensuring client practices remain compliant.
  • Provide guidance on compliance requirements for employee relations immigration and workplace standards.

Onboarding & Offboarding:

  • Facilitate the onboarding process including documentation background checks and orientation for new employees on behalf of clients.
  • Ensure a smooth transition for employees joining the clients team coordinating with relevant departments and ensuring all processes are complete.
  • Manage the offboarding process including exit interviews equipment retrieval and final documentation ensuring compliance with both client policies and legal standards.

Tax Clearance Coordination:

  • Facilitate and manage the tax clearance process for employees exiting the organization or expatriates departing Malaysia.
  • Liaise with the Inland Revenue Board of Malaysia (LHDN) to confirm that employees have settled all outstanding tax liabilities.
  • Work with employees to gather required documents including previous tax returns employment contracts and passport copies.
  • Coordinate with internal teams including Payroll and Finance to ensure seamless processing of tax clearances and final settlements.
  • Act as a liaison between the company and the Inland Revenue Board of Malaysia (LHDN) to expedite and resolve any tax clearancerelated issues.

Payroll (Malaysia) This may not currently be part of your role but it could be required in the future based on business needs.

  • Handle full spectrum of payroll processing activities including computing wages bonus allowances overtime claims payroll deductions advance payments and others.
  • Responsible for ensuring timely and accurate delivery of payroll.
  • Prepare associate salary grievance new joiner salary processing bank government correspondence statutory remittance and Yearly tax compliance processes.
  • Provide data to Accounts Department to fillin statistics form required by government agencies.
  • Calculations of related statutory changes in other pay elements (e.g. Statutory pension Tax treatment).
  • Checking the monthly payroll report for payroll approval and initiate the payroll run payment on timely manner.

Qualifications:

  • Bachelors Degree in a relevant field such as HR or Business Administration
  • Minimum of 2 to 5 years of experience in a generalist role within HR.
  • Excellent knowledge of Malaysian Immigration policies and regulations.
