Job Title: Administrative Support

Summary :
The Administrative duties and responsibilities include providing administrative support to ensure efficient operation of the office. Supports managers and employees through a variety of tasks related to organization and communication.
Responsibilities:
- Process incoming and outgoing mail internal correspondence and faxes.
- Manage administrative telephone calls screening redirecting and recording messages.
- Assist in coordinating meetings reserving rooms and notifying all parties of details.
- Track appointments and reappointments schedule meetings and record minutes in an approved format.
- Collaborate with IT to process paperwork for new hires including network accounts and application access.
- Submit termination paperwork for network accounts and program access upon staff departures.
- Ensure compliance with Open Meeting Law when scheduling and creating agendas.
- Update agency organizational charts regularly and maintain permanent records of meeting minutes.
- Proactively respond to information requests on behalf of the Director by identifying appropriate staff and tracking progress.
- Act as a liaison between the Director and various hospital department staff.
- Ensure timely completion of daily operations while addressing any areas of concern.
- Prepare general reports and maintain accurate records using charts graphs and tables.
- Ensure adherence to all procedures and practices related to secretarial services.

Skills and Qualifications:
- Minimum of 3 years of experience in administrative support including typing organization/filing and message relay.
- Strong skills in Microsoft Office Suite.
- Dependable flexible and able to manage multiple tasks while adjusting to a changing work pace.
- Familiarity with a hospital work environment is a plus.
