You will be updated with latest job alerts via emailWe seek a highly organised proactive and detailoriented individual to join our team as an Executive Assistant to the Director. The Executive Assistant to the director will play a critical role in ensuring the smooth operation of the director s office by providing highlevel administrative support managing schedules coordinating communications and handling sensitive information with the utmost confidentiality. This role requires high confidentiality discretion and professionalism.
Manage access to the director prioritising inquiries and requests while maintaining professionalism and confidentiality.
Coordinate and manage the directors calendar scheduling appointments and meetings. Prioritise and ensure that the directors time is optimised for maximum efficiency.
Prepare agendas documents and presentations for meetings attended by the director. Take minutes track action items and follow up to ensure timely completion.
Serve as a liaison between the director and all stakeholders. Screen and handle incoming calls emails and correspondence responding on behalf of the director when appropriate.
Organise and maintain confidential information documents and files ensuring easy access and retrieval as needed.
Plan coordinate and manage all travel arrangements for the director including flights accommodations transportation and itineraries.
Assist in the planning and execution of special projects initiatives and events as directed. Collaborate with crossfunctional teams to ensure successful project completion.
Foster positive relationships with internal teams clients partners and other stakeholders on behalf of the director.
You have a bachelors degree in business administration management or a related field preferred.
You have previous administrative or office support experience supporting high level executives.
You can draft and prepare professional correspondence reports presentations and other documents with attention to detail as directed.
You have professional demeanour strong organisational and time management skills with the ability to multitask and prioritise tasks effectively.
You are proficient in using computers and software applications including MS Office especially MS Excel & Powerpoint Google Drive apps CRM systems and Slack.
You are discrete and can handle sensitive and confidential information.
