Job Title: Service Administrator / Project Coordinator
Location: Doha
Job Type: 6 months Contract (Extendable)
Join our clients dynamic team as a Service Administrator / Project Coordinator where you will play a vital role in ensuring efficient project management and documentation processes. We value organization and attention to detail and we are looking for someone who shares these values.
Key Responsibilities:
- Collaborate with the Service Operations Team Commercial Manager and Presales Team on Fit Out/New Project entries and Annual Maintenance Contracts (AMC) renewals.
- Collect and verify all final project documents for booking entries.
- Create and maintain project folders according to the approved structure.
- Track all fitout and AMC projects including job numbers ensuring timely updates.
- Review payment terms in Purchase Orders (POs) from customers and assist in invoice preparation and submission.
- Maintain records of invoice submissions and customer acknowledgments within project folders.
- Work with the Commercial Manager to manage Accounts Receivables and follow up on customer payments.
- Maintain a tracker for POs coordinate with Logistics for updates on Estimated Time of Arrival (ETA) and communicate this information to customers.
- Check daily on the arrival of ordered materials with the Logistics warehouse team and initiate delivery after confirming payment.
- Coordinate with suppliers to ensure timely invoice submissions.
- Create and manage a correspondence log for all projectrelated communications.
- Draft and submit letters transmittals and documents to customers as needed.
- Manage document printing scanning and archiving of completed projects.
- Collaborate with subcontractors for report and document submissions.
- Maintain a database of manpower and monitor PO expirations.
- Coordinate monthly timesheets and collaborate with the Service Team on thirdparty manpower requirements.
- Facilitate Gate Pass/MOI pass applications and secure necessary signatures.
Qualifications:
- Previous experience in an administrative or document control role preferably in the service or construction industry.
- Strong organizational skills with the ability to manage multiple projects simultaneously.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite and project management software.
- Detailoriented with a focus on accuracy and quality.
