Job Description

Summary:
The Legal Receptionist will be stationed at the main reception area responsible for answering phones and welcoming guests. The ideal candidate should have prior experience in a reception or customer service role with a pleasant and professional demeanor. This position does not typically involve lifting though assistance is available if needed.

Shift:
Monday to Friday 9:00 AM to 6:00 PM

Requirements:

  • A high school diploma is required
  • Two years of relevant business experience preferred with a strong preference for administrative roles in a law firm or legal environment
  • Associates or Bachelors degree preferred
  • Proficiency in MS Office Suite especially Word Excel and PowerPoint
  • Excellent customer service skills and attention to detail
  • Ability to manage multiple tasks at once
  • Strong organizational and communication skills
  • Proactive and adaptable attitude

Responsibilities:

  • Deliver exceptional customer service within a legal environment
  • Greet visitors and employees with professionalism and a welcoming attitude
  • Schedule and prepare meeting rooms with necessary supplies and technology for client meetings
  • Answer and direct incoming calls following firm protocol and maintaining a high level of professionalism
  • Assist with light clerical duties such as document preparation filing scheduling appointments and managing calendars
  • Draft and format legal documents and correspondence as needed
  • Maintain an organized workspace and perform light housekeeping duties
  • Build relationships with clients and firm employees understanding key personnel and firm culture
  • Maintain proper visitor and guest security protocols
  • Track the whereabouts of attorneys and staff to manage calls and visitor inquiries effectively
  • Serve as a concierge for guests providing local information about restaurants coffee shops and other amenities
  • Ensure the lobby maintains a professional appearance
  • Order and organize office supplies and perform light hospitality duties (e.g. preparing coffee ordering food)
  • Engage in community service events or firm initiatives as required
  • Perform other duties as assigned
