Job Description

Overview

The Virtual Assistant Board of Directors plays a crucial role in supporting the Board of Directors by providing administrative and organizational assistance managing communication and ensuring the smooth functioning of board activities. This position is essential for maintaining the efficiency and effectiveness of the boards operations and interactions with internal and external stakeholders.

Key responsibilities

  • Manage the boards calendar and schedule including meeting coordination and travel arrangements
  • Prepare and distribute meeting agendas materials and minutes
  • Act as a primary point of contact for board members facilitating communication and correspondence
  • Coordinate and support board committee activities and initiatives
  • Conduct research compile data and create reports for board meetings and presentations
  • Ensure confidentiality of sensitive board information and documents
  • Assist in organizing and executing board events such as retreats or conferences
  • Handle expense tracking budget management and payment processing for boardrelated expenses
  • Collaborate with executive assistants and other team members to support organizational initiatives
  • Participate in special projects and initiatives as assigned by the board or executive leadership

Required qualifications

  • Bachelors degree in Business Administration Communication or related field
  • Proven experience as an executive assistant administrative assistant or in a similar role supporting seniorlevel management or boards
  • Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously
  • Exceptional written and verbal communication skills with a high level of professionalism
  • Proficiency in calendar management meeting coordination and time management
  • Ability to handle sensitive and confidential information with integrity and discretion
  • Proficient in Microsoft Office Suite and virtual communication tools
  • Strong problemsolving abilities and attention to detail
  • Experience in event planning and project coordination is a plus
  • Ability to work independently with minimal supervision and in a virtual environment
