Job Description
As an Administrative Assistant you ll play a pivotal role in ensuring smooth operations and exceptional client service for this forwardthinking insurance agency. Responsibilities
- Monitor CRM alerts for policy changes and premium adjustments ensuring timely client notifications
- Manage followups on pending cancellations and nonpayment situations using tailored communication strategies
- Perform accurate data entry transferring critical information between CRM systems and carrier websites for quote generation
- Optimize workflow using advanced tools like Agency Zoom ensuring efficient task completion and seamless handoffs
- Craft clear professional client communications to facilitate timely insurance payments and policy updates
- Prepare comprehensive data sets for licensed agents to review and finalize policy bindings
- Contribute to process improvement initiatives enhancing overall agency efficiency and client satisfaction
Requirements
- Sharp attention to detail and unwavering commitment to data accuracy
- Customer service experience or similar required with insurance background preferred
- Excellent written and verbal communication skills with the ability to convey complex information clearly
- Proficiency in CRM systems with experience in Hawk Soft being a significant advantage
- Demonstrated ability to quickly adapt to new software platforms and workflow processes
- Prior experience in customer service or financial services is highly valued
- Flexibility to work independently during offhours or overnight shifts as needed
